Office Support Clerk II

Auxillary Hours – 20 hours per week

Start & End Date – July 23, 2018 to June 29, 2019

Monday to Friday; shifts may vary and include evening work

Salary – Pay Grade 13: $22.98 -$26.91 per hour plus 12% in lieu of benefits

Main Purpose & Function

Reporting to the Administrative Co-ordinator the office support clerk II will be handling a wide variety of clerical processes and book keeping duties in a high paced and challenging community environment.

Specific Duties & Responsibilities

  • Responsible for account payable and weekly deposits for a variety of departments
  • Code and record entries into the ACCPAC system
  • Print pre-check register, review and prepare cheques
  • Enter daily cash and cheque transactions into the ACCPAC AR Receipt sub ledger
  • Prepare deposit
  • Reconcile petty cash, accounts receivable
  • Reconcile other accounts as direct
  • Prepare quarterly invoices
  • Assist in developing budget for programs and grants
  • Act as payroll backup; prepare the Union and Non-Union payroll
  • Perform other related duties as they arise


  • Completion of Grade 12 supplemented by courses in ACCPAC/ Simply Accounting and related bookkeeping experience
  • Superior Excel skills (as well as Microsoft Office) and demonstrated proficiency with all modules of ACCPAC and Simply Accounting
  • Good interpersonal skills; proven organization skills and ability to multi-task in a high volume and challenging position; ability to work independently
  • Experience in budget development would be an asset
  • Demonstrated knowledge of the relevant nonprofit legislation and policies; including Canada Revenue Agency charitable receipting guidelines
  • Knowledge, Skills and Abilities
  • Considerable knowledge of business English, spelling, punctuation and arithmetic
  • Sound knowledge of modern office practices and procedures
  • Working knowledge of departmental and other regulations, rules, procedures and practices that relate to this position
  • Ability to communicate and problem solve in a tactful and diplomatic manner as well as understand the needs of a diverse client group
  • Ability to perform a variety of clerical, date entry, word-processing, bookkeeping, office support functions
  • Ability to prepare routine reports, correspondence and memoranda related to the work
  • Skills in typing (keyboarding) rapidly and accurately where applicable
